Own Artwork Design Guidelines

Supplying your own artwork for Own Labels

This page sets out the process and technical information required if you wish to supply us with your own artwork for the label designs.

Please ensure you have also read our general Own Label FAQs page, as it includes important information about the general setup process that applies to all customers.

Before submitting your own artwork, please note the following important points:

1. You cannot supply us with your own artwork for the label designs until you have purchased one of our Own Label setup packages
2. We cannot review any samples of your artwork until you have submitted the Own Label Questionnaire that will be sent to you following your purchase and we have opened your file.
3. Once the above steps have been completed, you will need to upload ONE sample in each of our label sizes (as applicable to you) for our review.
4. Once this review stage has been completed, we will send you instructions on how we need your full set of finalised artwork to be named and submitted.
5. We strongly recommend that you do not create your full set of artwork until we have approved your samples. This helps to ensure that you do not waste time, money and effort, should we find that the samples do not meet our requirements in some way.

General requirements

If you wish to supply your own artwork, you will need to ensure that it complies with our internal requirements (as set out on this page), meets all legal requirements (i.e. follows our templates) and is ready to use "as is" - we cannot edit artwork supplied by you and it therefore must be supplied ready for setup and print.

Below are some of our more general requirements...

  • Artwork must be supplied as high resolution (min. 300dpi) png or jpg files (NOT as pdfs or any other file types).
  • The artwork files need to be saved to the specific label sizes we require (see below for dimensions). Please DO NOT add bleed.
  • All text featured on the artwork must be a minimum of 1.2mm in height (for the larger round pots) and 0.9mm in height for the flat pots - this is a legal requirement. As a guiding principle, all text should of course be clearly legible. We advise running a test print at your end to check this, prior to artwork submission.
  • Do not make label text smaller than Arial 5 pt or equivalent.
  • You have the option to supply the artwork for just the front / centre panels (recommended), or the whole label.
  • If you are supplying the artwork for the whole label (i.e. including side panels / back panels), you must include our product codes. Please ensure that these are clearly legible (a minimum of Arial pt 5 or equivalent and ideally in bold).
  • The individual files must be named in a format that we specify, for ease of identification and compatibility with our software (full details and instructions will be provided following approval of your samples). We will also provide you with instructions on how to submit the artwork to us at this stage (please DO NOT upload it through the ticket system).
  • Following the initial approval of your samples, we DO NOT proof the artwork that you provide for setup. We will assume that you have carefully followed the templates that we provide. You will therefore need to ensure that your artwork is free from errors prior to submission. If changes are required post setup, this will incur an amendment fee.
  • If you choose to deviate from the content of our templates (which have been checked for legal compliance), this is at your own risk. It is up to you to ensure that your labels are legally compliant in terms of your chosen product names, product descriptions and in all other respects. Please refer to the main Own Label FAQs page for guidance on choosing product names and, in particular, avoiding what could be construed as medicinal claims.
  • It is up to you to ensure that the artwork is supplied at a resolution (quality) that you are happy with.
  • The artwork you supply is set up for print and used 'as is'. We cannot edit or add to artwork supplied.
  • We generally recommend that you avoid using a dark background colour (especially on back/side panels), as this can make small text hard to read when printed. It can then also be a health and safety risk where allergens and health warnings are listed. Blocks of solid colour / colour backgrounds (of any colour) and gradients can also sometimes result in fine white lines across the label once printed, even when printing on our high quality printer. Only print shops can achieve 100% solid colours. Similarly, very light shapes (e.g. as part of a background) may lose their detail when printed. You can use these colours if you wish, but it will be at your risk if you are not happy with the result and then have to pay an amendment fee to change your artwork. We would always advise ordering a sample before proceeding with the full set if this is of particular concern or you are unsure.

General guidelines

  • Food supplements: It is a legal requirement to specify on the label if a product is a "food supplement". If you are supplying your own artwork for the whole label, you will need to include this phrase somewhere in your design, in text that is easily legible. If you are only supplying the front / centre panels, you do not need to worry about this (as we include "FOOD SUPPLEMENT" on the back / side panels as standard).
  • Organic logos: If you wish to sell any of our organic products, please ensure that the artwork you supply for these products features the Soil Association / EU organic logo and associated codes / wording, as per the templates. This is a legal requirement for all re-sellers of our organic range.

Please add the organic logos file we specifically supply for this purpose (linked to in the pdf templates below), carefully following the instructions set out to avoid invalidating the Soil Association's prior approval. This means using the file we provide "as is" and without amendment, in the specified dimensions and in the specified position. If you would like us to check a sample organic label for you, please upload it as one of your samples during the approval stage.

We have saved our Own Label customers time and money by having our Own Label design templates pre-approved by the Soil Association, meaning you don’t have to pay to register with them yourself or go through label approval processes. However, this means that you have to follow our guidelines for use of their logos. If we are designing the labels for you, there is nothing further for you to do. If, however, you are supplying your own artwork, please ensure you carefully read the section on organic products in the pdfs linked to below in the “Label design guidelines and dimensions” section below.

  • Kosher and halal logos: Own Label customers are permitted to use the kosher and halal symbols for applicable products. Please, however, bear in mind that if asked to prove this status, you would have to use our certificates.

General points to note

  • Ingredient / packaging changes: If you choose to supply us with your own artwork, please bear in mind that we sometimes have to update ingredients, change packaging or label content etc. We try to avoid this wherever possible, but it may be necessary due to changes to the labelling regulations, or product re-formulations etc. In this case, you would have to reproduce your artwork / update your pot images to take account of such changes. This is why we recommend you supply the front / centre panels only, keeping reference to ingredients on these panels to a minimum, to help reduce the need for updates.

If we create the label designs for you, we update them with formula changes automatically and free of charge, and this is the same if you are supplying just the front / centre panels (we update the back / side panels for you).

It is up to you to ensure that your labels and pot images remain up-to-date at all times and that you supply us with replacement artwork as and when required. You should therefore keep a regular eye on the page of our site where all updates are detailed from time to time: click here.

It is not practicable for us to request such artwork from you, particularly as there is no way for us to know whether you are still selling the product in question, wish to sell a new formula version etc. If you need to submit replacement artwork as a result of a change made by us, please create a ticket for the Own Label team - you will not be charged for the changes.

To assist you with identifying changes to the labels from time to time, we strongly suggest that you include the label version number that we supply, on your artwork. These are set out in the pdf templates linked to below, for each individual product template. Click here for an example. If this number has changed when you check again, you know a change has been made and your artwork needs updating.

POSITIONING & SIZING FILES (PDF & PSD FORMAT)

This section contains PDF and Photoshop PSD files for each of our label sizes, which you can use to ensure correct dimensions and internal positioning of individual panels (e.g. front panel, spine, back panel etc) when creating your own artwork.

Please ensure you adhere to these boundary dimensions (as shown in the pdf files linked to above). For example, if you are supplying the artwork for the whole label, do not make the front or back panels of the flat pot labels wider than the permitted areas shown. This could result in parts of these panels being wrapped onto the spine of the pot. If you do not adhere to our guidelines, you could incur additional costs if label setup has to be redone as a result and/or changes have to be made to your artwork.

Follow the supplied label pdf files and templates (linked to above) and the positioning templates linked to below, as they contain all the information required, as well as our detailed requirements for optimum printing.
