Capture the issue clearly
Record the date, channel, order or customer reference, product identity, batch or lot where available, description of the concern and any immediate action without adding unsupported conclusions.
Connect the record to evidence
Link the complaint to current label, product documents, traceability information, images or correspondence that may help the responsible owner review it. A complaint record is not itself proof of cause.
Protect privacy and sensitive information
Collect only information needed for the decision, restrict access and use suitable business procedures. Avoid making medical conclusions or publishing identifiable customer details.
Assign escalation and closure
Name the owner, next action, target review point, communication record and closure rationale. Specialist Supplements Ltd — trading since 1995 — recommends appropriate professional advice for safety, medical or regulatory concerns. Reviewed 2 November 2026.
