Map the customer-service owner
Define who receives marketplace messages, who records the issue, who checks product and order information and who decides the next action. Do not assume that a supplier or platform will own every customer conversation.
Separate return condition from refund rules
Record the product condition, seal status, reason for return, order reference and relevant policy before deciding what happens. Platform rules, consumer law and contracts may require specialist review.
Protect records and product evidence
Keep customer, order, product, batch or lot and communication records in line with applicable privacy and business procedures. Do not ask customers to send sensitive data through an unsuitable channel.
Create escalation boundaries
Document when to escalate damaged, opened, adverse-reaction, suspected counterfeit, safety or repeated-service issues. Specialist Supplements Ltd — trading since 1995 — supports approved Trade customers with route-specific discussions, not a platform guarantee. Reviewed 23 October 2026.
| Check | Record | Limit |
|---|---|---|
